The Import Model

Why does Entropica operate this way instead of stocking coffee like a normal roaster?

Because the coffees we chase don't exist in enough volume to warehouse. Micro-lots from roasters like DAK, MAME and Tanat come in small batches and sell out fast. Rather than sit on inventory and let it age, we open a specific Allocation Window per lot, consolidate everyone's orders into one shipment, and import only what's actually been reserved. It's slower than pulling from a shelf, but it means the coffee you get was roasted to order, not warehoused waiting for a buyer.

Isn't this just reselling European coffee at a markup?

Not really, because every week I check what each coffee costs here against what the same bag costs delivered straight from the roaster, and it's supposed to come out lower here. Shipping one bag from Europe usually runs $30 to $40 on its own, and since I bring dozens of orders over in one shipment and handle customs, that cost gets split instead of landing on you.

Why can't I just buy directly from the roaster in Europe myself?

You can, and some of our customers do for coffees we don't carry. But most European roasters don't ship affordably (or at all) to the US, and when they do, you're paying full international freight and customs on a single bag. We exist for the gap between "I want this specific European coffee" and "the shipping costs more than the coffee."

Who decides which coffees Entropica carries?

I do. I taste and pick every roaster, every Argon vial and every Ledger coffee myself, and the Ledger is where I write down why.

Allocations & Pre-Ordering

What exactly is an "Allocation Window"?

It's the published period during which you can reserve a share of a specific lot. Each listing states when the window opens and closes. When it closes, a moment we call the Lock, your order is finalized and we commit funds to the roaster on your behalf. Before the Lock, you can change your mind freely; after it, we're already buying the coffee.

What happens if a coffee sells out before my Allocation Window closes, or the roaster can't deliver what I reserved?

We call this a Shortfall, and it's covered explicitly in our Pre-Order & Import Protocol. You'll hear from us within two business days of us learning about it, and you choose one of three remedies: a full refund, a swap for something of equal or greater value, or an Allocation Credit with priority claim on the next comparable lot. We don't ship a partial order and refund the rest without telling you first.

Can I change or cancel a pre-order after I've placed it?

Before the Lock, cancellations are free and fully refundable. Just email us. After the Lock, we've already committed funds to the roaster, so cancellations are subject to a 10% administrative fee on the affected items. That fee doesn't apply if the cancellation is on us, meaning a Shortfall, a delay, or an error on our end.

Why do dispatch timelines vary so much between allocations?

Each roaster runs their own production schedule, and roast, transit, and inspection all happen after the window closes, not before. Every allocation listing publishes its own Estimated Dispatch Window so you know what you're actually signing up for. It's an estimate made in good faith, not a guaranteed date, and if we can't hit it, we'll tell you and give you the option to wait or walk away with a full refund.

Shipping & Delivery

How long does it actually take to get my coffee?

It depends on whether you're ordering a pre-order allocation or something in-stock. Pre-orders follow the four-phase cycle (Allocation Window, Lock, Roast & Transit, Dispatch), and the estimated window is published on each listing. In-stock orders (including the Argon Selection) skip that cycle entirely and ship within 24 hours of your order. You can watch every order move through the live tracker.

I paid for Priority shipping. Why hasn't my pre-order shipped yet?

Priority Upgrade and Priority Shipping (1-3 Days) are domestic carrier speeds, and the 1-3 day window is counted from Dispatch, the moment we hand your package to the carrier in Cincinnati. It is not counted from when you placed your order. On a pre-order allocation, Priority does not move the roast date, the roasting schedule in Europe, or the international leg; those are set by the cycle described above and on each listing. What Priority buys is a faster final leg once the coffee has landed and cleared customs. On an in-stock order there is no import leg, so Priority applies from the 24-hour dispatch instead. If you would rather not wait, a pre-order can be cancelled for a full refund any time before the Allocation Window closes.

Will I get hit with a customs bill when my order arrives?

No. Entropica is the importer of record for the Europe-to-US leg and absorbs all customs duties, tariffs, and brokerage fees on that leg. Your order then ships to you domestically from our Cincinnati facility like any other US package, with no separate import invoice, ever.

What if my package is lost, delayed, or arrives damaged?

If tracking goes quiet for seven straight days, or the carrier hasn't marked your package Delivered within 14 days of dispatch, contact us and we'll open a carrier claim and replace or refund the order. If it arrives with a compromised seal or visible damage, email us within 72 hours with photos and we'll expedite a replacement or issue a refund. The Argon Selection

What is the Argon Selection, and how is it different from a regular pre-order?

The Argon Selection is our in-stock inventory, coffee we've already imported and have on hand in Cincinnati, sealed under argon gas and ready to ship immediately. No Allocation Window, no Lock, no waiting on a roast cycle. It exists for exactly the moment a pre-order can't solve: you want great coffee now, not in three weeks.

Why argon specifically, and why glass vials?

Argon is an inert gas. It displaces the oxygen around the coffee without reacting with it, which is what actually causes staling (oxidation, not just "time passing"). Sealing rested coffee in glass under argon effectively pauses that clock far more precisely than a standard valve bag does. It's a slower, more deliberate way to hold a coffee at its peak, which is the entire premise of the Argon Selection.

What does "Peaked: Day X" mean on an Argon vial?

It's how many days past roast the coffee had rested before it was sealed, the point our tasting judged it to be at its best. Different coffees peak at different ages depending on process and density, which is why you'll see this number vary from vial to vial.

Subscriptions

How does a subscription like The Dossier work?

You choose a cadence, every month or every two months, and we bill on the 15th and deliver by the 1st of the next month. Each delivery is one bag of that month's featured coffee, along with the Curator's Note that goes with it. It's built for people who'd rather have the decision made for them by someone who tastes everything first.

Can I pause, skip, or cancel my subscription?

Yes, anytime, through your account portal, with no lock-in. Changes just need to land before your next billing date on the 15th to affect that cycle.

Will I get the same coffee every time?

No, and that's the point. Each cycle features a different selection, so a subscription is closer to a standing reservation on our current pick than a repeat order of one bag.

The Index

What is a Joule worth?

One hundred Joules is one dollar. The conversion never changes, so there is no second currency to translate in your head.

Why do I already have a balance?

Because the Index was backdated. Every dollar you had spent with Entropica was credited at ten Joules per dollar, and every account received five hundred Joules for existing. Both were issued before the program was ever announced.

Do my Joules expire?

Joules you earn from an order never expire. There is one exception, and it is not your earned balance: the founding grant, meaning everything credited retroactively when the Index opened, expires on 17 August 2027. Redemptions always spend the grant first, so the Joules carrying a deadline leave your account before the ones that never will. Nothing you earn from here is on a clock.

How do I earn more?

Ten Joules per dollar of subtotal on a standard allocation, twenty five per dollar on the Argon Selection, multiplied by your phase. Joules are credited when the order ships rather than when it is placed, because a pre-order still sitting with the roaster has not happened yet.

How do I spend them?

You do not have to do anything. At checkout the Index applies what it can, up to ten percent of the order, in five dollar steps, with no code to enter. If you would rather let the balance build toward something larger, there is a switch in the cart that turns it off and stays off until you turn it back on.

Why is redemption capped at ten percent of an order?

Because the cap is what makes the rate possible. Joules discount an order rather than replace it, which is why we can issue ten percent back instead of the token amount most programs offer. Spending a balance in full simply takes a larger order, and nothing expires while you get there.

What are the phases?

Your phase is set by lifetime spend and raises the rate on everything you earn afterwards. Drying runs to four hundred dollars at the base rate, Maillard from four hundred at 1.25x, First Crack from twelve hundred at 1.5x, and Development from three thousand. Phases only ever move up. Spend does not decay, and neither does standing.

Does a Curator’s Ledger subscription change anything?

It holds a phase floor for as long as the subscription stands. The Dossier holds you at Maillard and the Archive at First Crack, whatever you have actually spent. It is a floor rather than a gift, so cancelling returns you to the phase your spending has earned, which is never lower than where you started.

What is my key?

A referral link on your Index page. When someone opens an account through it and their first order ships, one thousand Joules go to you. Once per person, not once per order.

What happens to Joules if I return something?

The Joules that order earned come back off, in proportion to what was refunded, and never more than the order issued in the first place.

Where do I see my balance?

On your Index page at /pages/entropist, alongside your phase, your key, and every allocation you have taken. It is the same number the checkout uses.

Storage & Freshness

How should I store my coffee once it arrives?

Keep the bag sealed and out of direct light and heat until you're ready to brew. The valve is doing its job of letting CO2 escape without letting oxygen in, so resist the urge to decant it into another container. Once opened, use it within two to three weeks and reseal tightly between uses. We don't recommend freezing whole retail bags; if you truly need to extend a large quantity, portion and freeze in airtight, oxygen-free containers.

Why does the roast date sometimes differ slightly from what was listed?

Roast dates are set by the partner roaster's own production schedule, which we don't control. Variances of up to seven days in either direction happen due to batch sizing, and it's not a defect. What we do guarantee is that the coffee hasn't been sitting in a US warehouse before your Allocation Window opened.

The Coffee & Sourcing

Why are some coffees so much more expensive than others?

Price mostly tracks scarcity and process complexity at origin, so a small-lot Yellow Geisha or a slow-dried natural from a single named farm simply costs more to produce than a larger washed-process lot, before we ever touch it. We don't apply a flat markup across the board; the price difference you see between coffees is close to the price difference the roasters themselves set.

Do you roast anything yourselves?

No, we work exclusively with partner roasters in Europe who we believe are doing the best work with a given lot. Our job is selection, import logistics, and holding the coffee at its peak once it lands, not roasting.

How do you actually choose which roasters and lots to work with?

By tasting, mostly. We follow specific roasters whose work we trust, evaluate lots as they become available, and only bring in what we'd genuinely want in our own cup. The reasoning behind individual picks (why a lot, why now) is exactly what the Curator's Ledger exists to document.

Water & Brewing

Does water chemistry actually matter that much for brewing coffee?

More than most people expect, because water is 98%–plus of what's in the cup, and its mineral content directly changes both how much flavor gets extracted and how that flavor reads to your palate. Do you have brewing recommendations for a specific coffee?

General guidance lives on the Extraction & Water Chemistry page, and coffee-specific notes (process, altitude, and what we tasted) are on each product page. If you want a direct recommendation for a specific bag, email us; that's a question we're always happy to get.

Returns & Issues

What if my coffee arrives damaged, or I received the wrong item?

That's on us. Inspect your order on arrival and contact us right away so we can evaluate and make it right, typically with a replacement or refund. See our Refund Policy for the full process.

What if the coffee just isn't to my taste?

Flavor and roast profile are the roaster's artistic decisions, not defects, so we're not able to offer a return or refund based on personal preference once a seal is broken, the same way you couldn't return a bottle of wine because you didn't love the vintage. If a coffee genuinely tastes faulty (rancid, fermented off, or otherwise wrong rather than simply not your style), contact us within 14 days and we'll evaluate it individually.

Why should I trust coffee that's spent weeks in transit?

Because the alternative most people compare it to (a bag sitting on a US retail shelf for an unknown number of weeks after its own transatlantic journey) isn't actually fresher, it's just less transparent about it. We publish roast dates, dispatch windows, and a live tracker precisely so you're not taking that on faith. And every coffee is roasted to order against your specific Allocation Window, not pulled from standing warehouse stock.

Is Entropica a real company, and where are you based?

Entropica Coffee Co. LLC, based in Cincinnati, Ohio, and that's also where every order is inspected and dispatched from domestically. If you'd rather talk to a person than read a policy page, reach out directly.

Can I buy in bulk, or is there a wholesale option?

Orders above 5kg or 20 units get flagged for review, since Entropica is built as a direct-to-consumer service rather than a wholesale channel. If you have a genuine bulk or business need, email us, and we evaluate those individually rather than ruling them out by default.
