Entropica Coffee Co. Shipping Policy

I. The Philosophy

Shipping is not an afterthought; it is the final stage of our curation process. We do not dropship, and we do not compromise. Every box that leaves the Entropica Lab is packed by our team with the same precision used to roast the coffee inside it. Our goal is to ensure the integrity of the product from our hands to your brewing bar.

II. Service Area

We currently ship exclusively within the United States. To ensure our coffee meets our strict freshness and quality standards, we do not offer international shipping at this time.

III. Shipping Rates

Our shipping structure is designed to reward volume and density. We incentivize "building a box" rather than shipping single units, which is both economically and environmentally inefficient.

1. The Standard (Orders under $45)

  • Cost: $12.00 Flat Rate

  • Method: USPS Ground Advantage

  • Rationale: Single-bag shipments incur the highest logistical overhead. This rate reflects the true cost of materials, labor, and postage for small parcels.

2. The Preferred (Orders $45 – $74.99)

  • Cost: $8.00 Flat Rate

  • Method: USPS Ground Advantage / UPS Ground Saver

  • Rationale: A subsidized rate for the standard "Curator's Archive" volume (2 bags).

3. The Reward (Orders $75+)

  • Cost: FREE

  • Method: USPS Ground Advantage

  • Rationale: Orders of 3+ bags or mixed sets achieve optimal shipping density. Because you are helping us ship efficiently, we pass the savings back to you by covering the shipping cost entirely.

IV. Processing & Fulfillment Protocol

1. The Pre-Order Standard (Primary Model) Most Entropica releases are secured via Pre-Order to guarantee the freshest possible roast dates from our European partners.

  • The Timeline: Your shipment is governed by the specific Roast Date listed on the product page (e.g., "Roast Date: Dec 15"). This is when the coffee is created, not when it ships.

  • The Prep Phase: While the coffee is being roasted and flown to the US, your order is being "Pre-Staged" at our Lab. We generate labels and prepare packaging in advance.

  • The Dispatch: We operate on a "Zero-Day Turnaround." The moment the shipment arrives at our Cincinnati Lab, it is inspected, packed, and handed to the carrier the same day. This ensures the coffee enters the domestic network immediately.

2. In-Stock Items ("The Cellar")

  • Items marked as "In Stock" (such as Cellar Vials or Equipment) ship within 24 hours of order placement (Mon-Fri).

  • Mixed Carts: If your order contains both Pre-Order items and In-Stock items, the entire order will be held until the Pre-Order arrives. If you wish to receive in-stock items immediately, please place two separate orders.

3. "The Cellar Selection" Handling

  • These rare coffees are housed in glass vials and require specialized protective packaging. Please allow an additional 24 hours for the meticulous packing of any order containing Cellar vials.

V. Service Recovery (The Guarantee)

We practice Absolute Ownership. Once a package leaves our Lab, the carrier (USPS/UPS) takes custody. However, we do not outsource responsibility.

  • Lost/Stalled Packages: If your tracking has not updated in 10 business days, contact us immediately at trent@entropicacoffee.com. We will initiate a tracer and, if necessary, reship your order or issue a credit.

  • Damaged Goods: If your coffee arrives damaged or the vacuum seal is compromised, send a photo to trent@entropicacoffee.com within 48 hours of delivery. We will replace it. No arguments.
